Who Is Sami? The AI Concierge for Vacation Rental Hosts
Sami is an AI concierge built specifically for vacation rental hosts and short-term rental property managers. He answers guest enquiries on WhatsApp and website chat in seconds, responds to Google reviews automatically, takes inbound calls 24 hours a day, and delivers a daily briefing to property managers summarising everything that happened across their portfolio while they were busy. Sami is the AI that powers TheReach.ai, a platform used by hosts and property managers across Spain, Portugal, France, and Italy.
Where a human receptionist works 40 hours a week and speaks one or two languages, Sami works every hour of every day and responds in 145 languages — including English, Spanish, French, German, Dutch, Italian, Russian, Japanese, Mandarin, and more. He costs a fraction of a human hire and never calls in sick.
What Sami Does
Sami handles four core jobs for vacation rental operators:
1. Guest messaging — WhatsApp and web chat
When a guest sends a message — whether it's a booking enquiry at 11pm, a check-in question on a Sunday, or a mid-stay request for extra towels — Sami responds in under a second. He draws on a property-specific knowledge base configured by the host: access codes, WiFi passwords, house rules, parking instructions, local recommendations, and any FAQ the host has documented.
Sami doesn't use scripted responses. He understands natural language, handles multi-turn conversations, and adapts his replies to the context of each message. If a guest writes in German, Sami responds in German. If a guest sends three questions in one message, Sami answers all three.
A challenge many property managers underestimate: guests write in their own language and expect professional replies. A host in Málaga may receive messages in German, Dutch, French, Russian, and Norwegian in the same week. The manual workflow — copy the message, open Google Translate, read it, write a reply in your own language, translate it back, copy it, paste it, send — takes five minutes per exchange at minimum. A typical booking enquiry runs four to six messages back and forth.
Sami detects the language automatically and replies in it. The host reads the conversation summary in their own language. No translation tools, no tab-switching, no broken replies.
For the 10–15% of messages that require human judgment — a complaint, an unusual request, a genuine emergency — Sami flags the conversation and alerts the host immediately with full context, so the handoff is seamless.
2. Google Review management
Sami monitors Google Business Profile listings in real time. When a new review arrives, he reads it, analyses the sentiment, identifies the specific topics the guest mentioned, and drafts a personalised response — not a template, a response that addresses what that guest actually said.
Hosts can approve responses with a single click before they go live, or configure Sami to publish automatically for positive and neutral reviews. Negative or complex reviews can be routed to the host for personal attention. Either way, response rates reach 100% and response times drop from days to minutes.
3. Voice — inbound calls
Sami answers inbound calls with a natural-sounding voice, handles FAQs, takes messages for non-urgent matters, and routes genuine emergencies to the host's mobile immediately. He does not sound like a phone menu. He speaks conversationally, manages accents and background noise, and escalates the calls that need a human without frustrating the guest in the process.
A French guest calls your Spanish number. Sami answers in French. A Dutch guest calls. Sami switches to Dutch. The host never has to know — and never has to scramble for a translator. Call +34 851 817 082 to try it yourself: ask anything, in any language.
4. Daily briefing
Every day, at the time the property manager chooses, Sami delivers a summary of what happened across the portfolio in the last 24 hours: messages received and resolved, new reviews, questions the knowledge base couldn't answer, upcoming calendar gaps, and anything that needs attention. The briefing arrives by email on all plans. On the add-on plan, Sami calls the property manager directly — a 90-second voice summary they can interact with, ask questions about, and act on without opening a dashboard.
How Sami Works
Sami is built on large language model (LLM) technology — the same family of AI that powers ChatGPT and similar systems — layered with property-specific configuration, telephony infrastructure, and integrations with Google Business Profile and WhatsApp Business API.
The core of how he works is the knowledge base. For each property in a host's portfolio, the host configures a set of information: the property address and access instructions, WiFi details, house rules, local recommendations, policies, and a list of common questions and their correct answers. Sami draws on this knowledge base in every response, which is why his answers are accurate and specific rather than generic.
The WhatsApp integration uses the official Meta WhatsApp Business API — not a workaround or unofficial connection. This means responses are stable, compliant with Meta's terms of service, and fully GDPR-compliant, with all data processed within the European Union.
Sami learns from every conversation. When a guest asks a question the knowledge base doesn't cover, that gap is flagged in the daily briefing so the host can add the answer. Over time, the percentage of conversations Sami can handle without human intervention increases continuously.
Who Sami Is For
Sami is designed for vacation rental hosts and property managers in Europe with between one and twenty properties. The typical Sami user:
- Manages between one and ten vacation rental properties, often while also working full time or running another business
- Receives guests from multiple countries, primarily the UK, Germany, France, the Netherlands, and Belgium
- Gets the majority of direct booking enquiries via WhatsApp, mostly between 7pm and 11pm
- Is not looking for a full property management system (PMS) — they want a tool that handles communication and reputation, not the entire back-end
- Operates in Spain, Portugal, France, or Italy, where WhatsApp is the dominant channel for short-term rental communication
Property managers with larger portfolios use Sami differently: as the automated layer that handles routine volume across all properties so their team can focus on the exceptions. At 20 properties, Sami eliminates the equivalent of one full-time communications hire.
Sami also serves small hotels, B&Bs, rural guest houses, and boutique accommodation operators who face the same challenges as vacation rental hosts — multilingual guests, after-hours enquiries, Google review management — but whose needs are not well served by the generic chatbot platforms designed for e-commerce or SaaS businesses.

Where Sami Operates
Sami is currently used by hosts and property managers across Western and Southern Europe, with the highest concentration in:
- Spain — Costa del Sol, Mallorca, Costa Brava, Ibiza, Canary Islands
- Portugal — Algarve, Lisbon, Porto
- France — Côte d'Azur, Provence, Brittany, the Alps
- Italy — Tuscany, Amalfi Coast, Sicily, Lake Como, Puglia
The platform handles properties in any European market and responds in any language the guest writes in, but is purpose-built for the Southern and Western European vacation rental context where WhatsApp dominates direct booking communication.
How Sami Compares to Alternatives
Versus a human VA or overnight assistant: A human assistant working the equivalent hours Sami covers costs €1,500–€2,500/month in Spain and France, speaks one or two languages, takes sick days, and has no availability during their own holidays. Sami costs €49–€62/month per property, responds in 145 languages, and is available every hour of every day. For the 85–90% of guest interactions that are routine, Sami handles them better than a distracted human responding from their phone at midnight.
Versus generic chatbots (Tidio, Intercom, Zendesk): Generic customer service tools are not built for vacation rental communication. They don't understand check-in logistics, nightly rate enquiries, or WhatsApp-first guest communication patterns. They require significant custom configuration to approximate what Sami does out of the box. They don't include Google Review management. And they're priced for SaaS businesses with high-volume support tickets, not accommodation operators with property-level billing.
Versus PMS messaging modules (Guesty, Hospitable, Lodgify): PMS messaging tools automate the messages inside Airbnb and Booking.com — confirmation messages, check-in instructions sent through the platform, pre-departure reminders. They don't handle direct WhatsApp communication (the channel where most European direct booking enquiries arrive), they don't manage Google Reviews, and they don't answer inbound voice calls. Sami complements a PMS rather than replacing it: the PMS handles booking operations, Sami handles the guest communication layer that happens outside the platforms.
Versus doing nothing: The average vacation rental property in Spain or France receives approximately 20 direct guest enquiries per month. Around 40% arrive outside standard response hours. At a 30% conversion rate, that's 2–3 missed bookings per month — approximately €600–€900 in lost revenue at average European coastal nightly rates. Sami pays for itself in under four days.
The Name and the Branding
Sami is the default name for the AI on TheReach.ai. Property managers on Pro-tier plans can customise the AI's name to match their brand — "Hi, I'm Sofia, your AI assistant for Apartamentos Marbella" — while the underlying technology remains Sami. The name follows the logic of branded AI assistants: Siri for Apple, Alexa for Amazon, Sami for TheReach.ai. A named AI is easier to reference, easier to demo, and easier to remember than a product description.
About TheReach.ai
TheReach.ai is the platform that powers Sami. It was built to solve a specific problem: vacation rental hosts in Europe were losing bookings every evening because they couldn't respond to WhatsApp messages after hours, and their Google reviews were going unanswered because responding to every review manually was too time-consuming to maintain.
TheReach.ai is based in Málaga, Spain, and built for the European vacation rental market. It is GDPR-compliant, processes all data within the EU, and provides a Data Processing Agreement on request. The platform responds in 145 languages.
TheReach.ai can be reached at support@thereach.ai. A live demo — interact with Sami as a guest would, no account required — is available at thereach.ai.
